Spark OS — Privacy Policy

    Last updated: 13 October 2026

Spark OS is a trading name of Stargazy Solutions Limited ("Spark OS", "we", "us", "our"). This policy explains what personal data we collect, why, and how we look after it when you visit sparkos.co.uk, get in touch with us, or use the Spark OS platform.

    1. Who we are

Spark OS (Stargazy Solutions Limited) is the data controller for the personal data described in this policy. You can contact us at hello@sparkos.co.uk with any questions about how we handle your data.

    2. What data we collect

Depending on how you interact with us, we may collect:

    • Contact details — name, email address, phone number, and business name, e.g. when you fill in a form, email us, or sign up for Spark OS.
    • Booking details — your name, email address, phone number, business name and the time you choose when you book a demo through our booking calendar.
    • Account and subscription information — login credentials, business details, and subscription/billing history for your Spark OS account.
    • Customer and business data you manage through the platform — appointment and booking details, client contact information, and messages or call records generated when you use Spark OS's scheduling, calling, texting, WhatsApp, and advertising features. Where this includes your own customers' or contacts' personal data, you (the subscriber) remain the data controller for that data, and Spark OS acts as a processor on your behalf, in line with our terms of service.
    • Payment information — billing details processed via our payment provider. We do not store full card details ourselves.
    • Communications data — records of calls, text messages, and WhatsApp messages sent or received through the platform's integrated communication tools, where these features are used.
    • Website usage data — pages visited, browser type, and general analytics collected when you visit sparkos.co.uk.
    • Advertising measurement data — if you accept cookies, information about your visit such as the pages you view and if you booked a demo, collected through the Meta Pixel (see section 8).
    • Correspondence — records of emails, messages, and calls between us.

    3. How we use your data

    We use personal data to:

    • Respond to enquiries and set up your Spark OS account.
    • Provide and operate the Spark OS platform, including scheduling, payments, calling, texting, WhatsApp messaging, and advertising tools.
    • Send you confirmation and reminder emails and texts about a demo you have booked.
    • Manage your subscription, including invoicing and payment.
    • Improve the platform and our website, and understand how visitors use sparkos.co.uk.
    • If you accept cookies, measure which of our Facebook and Instagram adverts lead to enquiries and bookings, and show our adverts to people likely to be interested.
    • Meet our legal and accounting obligations.

Our legal bases for processing are: performance of a contract with you, our legitimate interests in running and improving our business, compliance with legal obligations, and, where applicable, your consent (for example, for optional marketing communications or non-essential cookies).

    4. Third-party services we use

Delivering the Spark OS platform means personal and business data may pass through third-party services that power the platform's features. These include, but are not limited to:

    • Stargazy Enginehouse — our underlying technology platform, which powers Spark OS's scheduling, payments, calling, texting, WhatsApp messaging, and advertising features.
    • Our payment processor — used to handle subscription billing and payments taken through the platform.
    • SMS, voice, and WhatsApp messaging providers — used to deliver the platform's calling and messaging features.
    • Website analytics tools — used to understand how visitors use sparkos.co.uk.
    • Meta Platforms Ireland Limited (Facebook and Instagram) — the Meta Pixel, which measures how our adverts perform for visitors who accept cookies.
    • Zoom — used to host demo calls.
    • Google — the calendar we use to schedule demos.

Each of these providers has its own privacy policy and acts as an independent data processor or controller for the data it handles. Where Spark OS processes your own customers' or contacts' personal data on your behalf, you (the subscriber) remain the data controller for that data, and Spark OS acts as a processor, in line with any agreement between us.

    5. Sharing your data

We do not sell personal data. We share data only with the third-party processors listed above, other suppliers who help us run our business (such as accountants or IT providers), and where required by law or to protect our legal rights.

    6. International transfers

Some of the third-party services we use may store or process data outside the UK. Where this happens, we rely on the safeguards those providers have in place, such as Standard Contractual Clauses or equivalent adequacy protections, to ensure your data remains protected.

    7. Data retention

We keep personal data only as long as necessary for the purposes it was collected — typically for the duration of your Spark OS subscription, plus a period afterwards to meet legal, accounting, or contractual requirements. We then delete or anonymise it.

    8. Cookies

The first time you visit sparkos.co.uk we ask if you're happy for us to use advertising cookies. If you click Accept, we load the Meta Pixel, a piece of code provided by Meta Platforms Ireland Limited. It sets cookies in your browser (such as _fbp) and tells Meta when you view a page, click a button to book or contact us, send us an enquiry or book a demo. We use this to see which of our adverts on Facebook and Instagram lead to bookings, and to show our adverts to people who are more likely to be interested. We don't send Meta your name, email address or phone number through the pixel. If you're logged in to Facebook or Instagram, Meta may link this activity to your account, and its use of that data is covered by its own privacy policy at facebook.com/privacy/policy.

If you click Reject, the Meta Pixel doesn't load and no advertising cookies are set. We save your choice in your browser so we don't ask again on every visit. You can change it at any time using the Cookie settings link at the bottom of every page.

The booking calendar on our site is provided by our platform, Stargazy Enginehouse, and may set cookies it needs to make bookings work. You can also block or delete cookies in your browser settings, though some parts of the site may not work properly if you do.

    9. Your rights

Under UK data protection law, you have the right to:

    • Access the personal data we hold about you.
    • Ask us to correct inaccurate data.
    • Ask us to delete your data, in certain circumstances.
    • Restrict or object to certain processing.
    • Request a copy of your data in a portable format.
    • Withdraw consent at any time, where we rely on consent.

To exercise any of these rights, email hello@sparkos.co.uk. You also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk if you're unhappy with how we've handled your data.

    10. Security

We take reasonable technical and organisational steps to protect personal data against loss, misuse, and unauthorised access, including restricting access credentials and using reputable, security-conscious third-party providers.

    11. Children

Our services are intended for businesses and are not directed at children. We do not knowingly collect personal data from children.

    12. Changes to this policy

We may update this policy from time to time. The "last updated" date at the top shows when it was last revised. We encourage you to review it periodically.

    13. Contact us

If you have any questions about this privacy policy or how we handle your data, please contact us at hello@sparkos.co.uk.
